As we continue our time management journey, I would like to go deeper into some important points. First, let us look at how you can measure your time in more detail. There are two main ways to do this.
The first is to use an app that has separate tabs for different areas of life. For example, there could be a tab for work, family, hobbies, etc. You could then click each area under Work and find out what you were spending your time on.
By doing this, you will also be able to identify any holes in your schedule by looking at the things that have “empty” spaces in them. This way, you can fix or change the thing that is using up the time so that it doesn't take as much time.
The second way to measure your time is through recording everything you do every few minutes. This can be done via apps such as Google Calendar or Analogue which allows you to add events and notes.
You can also track all your calls, texts, emails, and other activities online via applications such as Slack or Microsoft Office Online. By tracking these down, you get a better picture of just how busy you actually are.
Organize your things
A good way to organize your time is by using an app that keeps you organized via email, SMS messages, chat, voice calls, or video.
You can create different labels for each item and then organize it according to what category it falls into.
For example, if you’re organizing all of your documents, you could make one label “School Projects,” another “Homework Materials,” and yet another “Course Notes.” Then you would sort them by group, not by order.
This helps keep control over how much clutter you have because everything is in its place.
Have a clear goal
A lot of people start trying to manage their time after realizing that they are spending too much time in front of the TV or computer screen, for example.
After doing this for a few weeks, it is hard to maintain your focus because you cannot seem to get anything done. You may even give up.
It’s easy to spend hours every day working on projects that never see the light of day due to constant distractions. It can become a vicious cycle if you don’t do something about it soon.
You need to know what you want to achieve with your life and how you plan to get there. Then, you have to figure out how to allocate your time so that you will always be able to accomplish your goals.
Make a to-do list
A good starting place for time management is by making a daily to-do list. This can be done in several ways, your best bet is creating an app or software program that helps you organize and track your tasks.
You could use a notebook and write down all of your tasks, but this doesn’t help you keep up with how many times you have to go through each task. Using an app allows you to reorder, edit, and remove items easily.
Some apps allow you to create lists as well which can also help you stay organized. You can choose whether to include only “urgent” tasks, only “important” ones, both, or nothing at all. For every item, there should be a due date, what person it belongs to, and if it has been completed.
Develop good work habits
A lot of people struggle with time management because they try to do everything themselves instead of hiring others to help you out or offering your services in other areas. This is not a good idea if you want to succeed, nor is it practical when you run into trouble either due to lack of resources or poor timing.
Time is a valuable asset that everyone has, so why waste yours doing things that someone else could be paid for and do better? If you're too busy trying to take care of everything yourself, you'll soon find yourself with no time left over for what really matters- yourself and those close to you.
This will only hurt your chances at success and happiness. It's important to know how much time you have available to devote to each area of your life and determine which ones are non-critical (or maybe even harmful) and can be adjusted or eliminated. Measure your progress
The first way to know if you’re doing well with time is by measuring it. Rather than trying to check off all of your tasks every few days, try using a tool that tracks this information for you.
There are many great apps and services that can help you track how much time you spend on each task, how long it takes to complete, and whether you completed it or not. This data comes from yourself or someone else (such as your manager) who knows what things should take, so it doesn’t require much effort to get an accurate picture.
You can also add these tools onto do-it-for-you (or “automation”) applications like Google Suite, Microsoft Office, and IFTTT, where they track something and then other software, equipment, or resources need to be aware of that info too. For example, if you make a lot of calls, have people drop what they’re doing because you don’t pick up when you talk, and your phone has a bad battery, there will be some warning signs!
It may feel tedious at times to have to install the app separately, but in the end it will really help you hone in on what needs to be done and how much time it takes.
A few years ago, I would have agreed that you need to be in constant action mode with no break or your productivity will drop. But today, that theory has been disproven!
It is impossible to achieve true mastery if you don’t give yourself time for relaxation. You have to take breaks.
You need to do something non-productive every now and then to reset and refresh. This can include taking a short walk outside, doing some exercises, having a bath or shower, reading a book, talking to a friend, surfing the net – anything that leaves you relaxed and refreshed.
I know it may feel like a waste of time, but this is what enables you to perform at your best next period. When you are well rested and relaxed, you are more likely to put aside things you have to do and instead focus on the tasks that matter most.
If you keep going all day without any down time, you will soon begin to notice a drop off in performance.
Multitasking is not good
We’ve talked before about how overdoing it with busy-work will only make you feel more overwhelmed, but now we’re going one step further and explaining why this practice isn’t even worth the cost.
Multitasking is almost like drinking too much water – if you do it to excess, it can be totally unnecessary!
By trying to do several things at once, your brain has to work harder to sort out what to focus on next. This creates a lack of concentration and efficiency in whatever task you were previously working on.
You may also get distracted by something else or need to put some time aside to actually sit down and concentrate fully on an activity, which are both costs that multitaskers don’t take into account.
This can have serious consequences when there’s a deadline involved as you won’t have enough time to prepare properly. Or maybe you just plain run out of steam and give up half way through an assignment/task because you didn’t really pay attention to anything else.
Running out of breath and energy due to poor time management is quite a common occurrence. Luckily, there are ways to fix this.
