Changing how you manage your time can feel like an uphill battle at times. There are so many different strategies and tactics for managing your schedule that it can be hard to know where to begin.

That’s why there is always someone new offering their tips and tricks for improving your time management. It seems like every workplace has a team of people who have mastered this art form, and they are constantly sharing them with others.

However, some tips seem too simple or generic to make a difference. These types of advice will not work if you do not put them into practice.

In this article I will discuss one of my favorite ways to improve my own time management skills as well as those of anyone else reading this. I will talk about using a tool called Analogue Systems Theory (AST) to help you achieve your goals.

I will also share some quick insights on how to use AST in the context of productivity and time management.

Develop a system

A good time management system starts with you being honest with yourself about what tasks take up most of your time and energy.

It can be difficult to separate idle chatter from meaningful interactions, so learning how to listen is an important skill for time managers.

Becoming aware of when things are going poorly or badly can help you identify problem areas and make changes, so that you’re never distracted beyond repair.

By using a diary to record all of your activities, you will have easy access to information at any time – which helps in planning future projects and events.

In this way, you can keep track of everything more efficiently and effectively.

Be consistent

Consistency is one of the biggest keys to time management. This can be done in many different ways, but it always starts with having an idea of what you should do every day.

Make your start time regular – say between 10 am and 11am each morning. Then stick to that schedule every day without exception!

This way, your mind will feel prepared for the day and you’ll get into a habit of doing your work before moving onto other things.

Set small goals at first - maybe aim to spend 30 minutes each night organizing or systems-izing, then gradually build up as you find out how much time it takes.

On days when you don’t have too much going on, you can even leave some tasks until later so you’re not rushing to make sure everything gets finished.

Take breaks

A few years ago, I heard a very interesting theory about time management. It was called “the pause hypothesis”. The premise of this theory is that we spend too much time in idle or activity-less times, and then we are forced to take action and do something.

By having these pauses in between active periods, you give your mind and body time to relax and reset. So instead of spending all day doing things, you split up the work into smaller chunks with short break times.

This way, you never have to worry about running out of time because you gave yourself enough time for rest. By giving yourself time to recover, you also reduce stress and find it easier to re-enter the workplace after taking a break.

I know what you are thinking – why would someone who claims to be a busy person not make use of available free time? This theory suggests that if you really wanted to achieve more, you should allocate extra time at night or during weekends to do so.

But remember, just like with any other skill, practicing good time management takes consistency and repetition. If you start working early mornings or late nights only for them to disappear again, then this will backfire and hurt your progress.

If you’re not spending time on things that matter to you, then what use is this goal?

You’ll be wasting your time trying to manage your schedule when you don’t take care of the underlying issues that have made timing a key part of your life.

Start by acknowledging yourself for the work you’ve done up until now and acknowledge that you can’t make expected changes unless you address the reasons why you didn’t implement these strategies earlier.

By taking some time to consider the things in your life that you feel are too important to miss out on, you’ll identify the areas where you’ve allowed your time to get away from you.

These could include job responsibilities, family commitments or even personal obligations such as going to see your friends on a regular basis.

Commit to working on your time management

Even if you are already an excellent time manager, there is always something new you can improve upon. Whether it’s organizing your tasks more efficiently or learning how to manage your time better, there’s always room for growth in this area.

Time management isn’t a one-and-done thing — it’s a constant process that requires consistency. Just because you spent hours planning what you were going to do today doesn’t mean you’ll be able to stick to those plans once you get into the office.

Planning ahead and being organized will help you deal with unplanned events, such as when your car breaks down five miles from work or your phone dies and you have no way of contacting anyone.

It also helps to reduce stress, which only adds to your efficiency while you’re trying to focus during the day.

Practice multitasking

A lot of people think that being more efficient as a person means doing less of one thing to focus on, and spending your time focusing only on one task at a time. However, experts suggest there is a limit to how effective this approach can be.

This theory goes by a catchy name- parallel processing. Parallel processing happens when you perform two or more tasks simultaneously. For example, if you were writing an article while listening to music, it would be using parallel processing.

By instead performing both activities sequentially (one after another), you are limiting yourself in how efficiently you can use your brain energy. This becomes even more important as technology advances exponentially.

With every new gadget coming out with ever increasing amounts of features, our brains have to work harder to take all those features apart and process what each one does.

Time management is a constant struggle for most adults. Having too many commitments can easily cause a meltdown. With the help of technology, however, we can do some things to improve our efficiency.

Using timers to manage your time effectively
Timers allow you to allocate specific times for different tasks. For instance, you could set a timer for preparing breakfast so that it automatically starts waking up your sleep schedule for the day.

You can also use them for starting workouts or going to bed at night. By setting timing limits, you create clear milestones during the day which helps keep you motivated.

Stop trying to do everything

A lot of people start their time management practices by trying to be all things to all men. They try to take care of every task that comes up, and they feel overwhelmed in the process.

They become paralyzed because there are just too many tasks at any given moment and nothing is getting done.

If you’re one of those people, here are some tips for improving your time management. Focus on doing only three or four important jobs at a time. Try limiting yourself to just this number to achieve balance.

When you have limited yourself to just these few priorities, you will get more done due to having focused on only a small amount of work.

You can then move onto the next job in the queue.

It’s easy to start thinking that you’ll never make any progress because you always seem to be just a little bit behind.

But there are things you can do to improve your time management so that this doesn’t happen as much.
